AWARD CATEGORY CRITERIA 2012

A. EVENT CATEGORIES

A1:    Best public event
This category seeks to recognise excellence in an event of any size created for a public audience, whether in the UK or overseas. The event can be ticketed or non-ticketed.  Please give a detailed explanation of how the event was visualised, produced, staged and executed by the organising team or company.  Please credit other participating agencies/suppliers. Background to the conception of the event should be included. The judges will need to see evaluation in terms of attendance numbers, media coverage, audience feedback and other quantifiable measures.

A2:    Best celebratory event
This category is open to anniversary celebrations, awards ceremonies, family days, openings, charity fundraisers and other celebratory events run by an organisation for a specific audience. Entries into this category do not need an underlying business strategy. Judges will be looking for examples of impact, creative thinking, logistical expertise and maximum appeal to the target audience.

A3:    Best hospitality experience
This category is open to any outstanding hospitality experience at any type of event including sporting and entertainment offerings.  The entries should include value for money, ROI, impact and innovation as well as any CSR policies.

A4:    Best team-building event
This category looks for the most outstanding team-building event. The judges will need to know about any benefit to people or company performance, so clear objectives and evaluation against objectives are essential. The judges will also focus on guest endorsement and the balance between enjoyment and the benefits of working as a team.

A5:    Best product launch (International)
Entrants will need to explain the totality of the project – market background, aims, execution, logistics and results. Due to the complex nature of product launches, several agencies may work together managing different elements of the project. If you have been responsible for the whole or a part of a project please be specific about the scope and extent of your involvement, and please also credit other participating agencies, including the participation of a DMC which may have been important, together with the vetting and appointment of local suppliers.

A6:    Best product launch (UK)
Entrants will need to explain the totality of the project – market background, aims, execution, logistics and results. Due to the complex nature of product launches, several agencies may work together managing different elements of the project. If you have been responsible for the whole or a part of a project please be specific about the scope and extent of your involvement, and please also credit other participating agencies.

A7:    Best conference (International)
Meetings of any size with a corporate purpose are eligible to enter, including conferences and conventions. Your description should include content delivery, format, production and logistical elements.   If you have been responsible for the whole or a part of a project please be specific about the scope and extent of your involvement, and please also credit other participating agencies, including the participation of a DMC which may have been important, together with the vetting and appointment of local suppliers.  The judges will be interested to know the relevance of the location to the event’s theme or audience and to see any relevant evaluation and results.

A8:    Best conference (UK)

Reasons for the choice of destination should be given along with details of the incentive campaign and qualification process to inform the judges.  Agencies entering this category should clarify the extent of their involvement in the campaign and the judges will need to be able to compare the programme’s results with its stated objectives.  Please also credit other participating agencies, including the participation of a DMC which may have been important, together with the vetting and appointment of local suppliers.  In cases where detailed numbers are confidential please provide the judges with indications in percentage terms – or highlight commercially sensitive information as ‘not for publication’.

A11:  Best brand experience (as part of an experiential campaign)
This award recognises the creative use of the live medium in boosting awareness, building brand attributes and associations and ultimately creating brand advocacy. The judges will need a brief description of the overall project and specific explanation of the creative idea, its relevance to the communication task and its execution. Whilst the brand experience may represent only part of a broader integrated campaign, judges will be particularly keen to understand why the chosen event solution was especially powerful in delivering a compelling message to the audience.   This could include B2B, B2C and B2E experience.

B. SUPPLIER CATEGORIES

B1:    Event hotel of the year
This category is open to any hotel that offers corporate event space and accommodation. The entrant must demonstrate through three case studies how it provides value for money, excellent facilities, a strong support and events team and sound CSR policy. The judges will be looking for guest and client endorsement, versatility, and package offerings. Cruise ships can also be entered.

B2:    Event venue of the year (non-residential up to 500 capacity)
This category is open to any venue (including unique and unusual venues) that offers corporate event space for less than 500 guests. The entrant must demonstrate through three case studies how it provides value for money, excellent facilities, a strong support and events team and sound CSR policy. The judges will be looking for guest and client endorsement, versatility, and package offerings.

B3:    Event venue of the year (non-residential over 500 capacity)
This category is open to any venue (including unique and unusual venues) that offers corporate event space for over 500 guests. The entrant must demonstrate through three case studies how it provides value for money, excellent facilities, a strong support and events team and sound implementation of CSR policy. The judges will be looking for guest and client endorsement, versatility, and package offerings.

B4:    Best hotel group of the year   
This category is open to any hotel group that has 5 or more venues in its portfolio.  The judges will be looking for evidence of a partnership approach to the events industry with dedicated knowledgeable staff working in this sector, they must demonstrate their understanding of the events industry with appropriate market offering that provides value for money, flexibility for group demands and full support for group business at both a regional, global and property level.  They will be looking for evidence of industry through leadership, investment in the industry and a sound CSR policy.

B5:    Technical supplier of the year
This category is open to any provider of audio, visual, staging, video or screen graphics or technical contractor services involved in the production and execution of successful events. Each supplier must show three contrasting case study examples of how it came up with solutions to client briefs and how they were executed. The judges will look for innovation, success and client and guest endorsements.

B6:    Creative use of digital technology
This category is open to digital technology providers that support the delegate experience. This can include online and on site technologies such as registration, session monitoring devices, on line and virtual communities, mobile and tablet applications, as well as interactive technologies deployed to enhance the delegate experience.  Entries need to demonstrate the creative use of such technologies in order to measure the objectives, increase the engagement and/or reduce the costs.  The judges will look for evidence of the progressive use of existing and new technology to increase the impact or effectiveness of events.

B7:    Creative use of production technology
This category is open to suppliers working at the cutting edge of production technology, such as, 3D, projection, holographic, architectural mapping and sound design.  Each supplier must show three contrasting case study examples of how it came up with solutions to client briefs and how they were executed.  The judges will look for innovation, success and client endorsement.

B8:    Event services supplier of the year
This category is open to an individual or company contributing elements to the overall look and feel of an event’s environment or execution. For example, this could be in the form of an entertainment act or talent agency, event-theming or prop hire firm, set designer, caterer or temporary structure. Each service supplier must submit three examples of how they provided creative solutions that fitted in with the overall design concepts for three different events. The judges will be looking for innovation, originality and client and guest endorsement.

B9:    Logistics supplier of the year
This category can be entered by any supplier of logistical services and can include overall project logistics as well as specifics such as rigging, provision of crew or any other service that has added to the smooth running of an event, in the UK or overseas. The judges will be particularly interested to learn of any logistical challenges that were encountered and overcome.

B10:  DMC of the year    
Expert local knowledge, thinking outside the box, the ability to "open doors", and faultless support & delivery are what differentiates world class DMC's.  The judges will want to see evidence of three very different projects, operated during the eligibility period, that best demonstrate these important  qualities. The entries should be supported by written testimonials from each client as to how the DMC really made a difference.

C. PROJECT MANAGEMENT CATEGORIES

C1:    Venue event team of the year 
This category is open to all in-venue event teams. The entrant must demonstrate how it has increased business by highlighting the number of events it has organised and managed during the last 12 months, while showcasing its three most impressive. The judges will be looking for the number of guests, length of events, the overcoming of any problems, client endorsement, training and development of the team and the success of the events expressed emotionally and empirically. Credit must be given to other participating companies that made the events a success.

C2:    In house event team of the year
This category is open to all professional in-house event teams that provide any aspect of event development, production and delivery for their organisations. It is open to teams from the corporate, association or public sectors (the latter including NGO's such as charities). Please provide details of key objectives and responsibilities, as well as evidence of how the team adds value through their work and meets these objectives. Three case studies are required that showcase the strengths and abilities of the team as well as providing details of both the audiences and levels of engagement achieved. Stakeholder endorsements are also required. Entries will also need to explain how their recruitment and retention has supported the development of a successful team of event professionals.

C3:    Agency of the year     
This award is designed to see agencies of all sizes judged on a level playing field. As such it is open to all event agencies and will be judged on financial improvement, new business growth, innovation and achievement. Agencies should show accounts illustrating increases in event-based turnover in the last year, and submit details of all the new accounts won in the last year and the events these have produced. Also include any relevant supporting material to support the entry – such as staff increases, staff retention, training and development. Entries will be judged in the strictest confidence by an independent panel of judges.

D.     SPECIAL CATEGORIES

D1:  Best corporate responsibility
The event or programme shortlisted by our panel of Judges from the category entries will then be judged by representatives from the Board and the Eventia CR Committee.

D2:  Outstanding achievement
To nominate a deserved person for this award, please submit the reasons for the nomination, as well as a short biography of the person being nominated. The category is free to enter and multiple nominations are welcome. Nominations should include a summary detailing the nominee’s outstanding achievements and if applicable across their career, outlining the impact they have made in the event sector.  Outstanding Achievement Awards are given at the discretion of the Eventia Board and are presented on a case-by-case basis to individuals that have proven their contribution to the industry.

D3:   Eventia rising star of the year
To nominate a deserved person for this award, please submit the reasons for the nomination, as well as a short biography of the person being nominated. The category is free to enter and multiple nominations are welcome. Nominations should include a summary detailing the nominee’s outstanding achievements outlining the impact they have made in the event sector so far.  This award seeks to acknowledge and encourage new talent in the events industry. Nominations are encouraged from both the organiser and supplier communities. The Eventia Rising Star of the Year Award is given at the discretion of the Eventia Board.

E. SPECIAL RECOGNITION AWARDS

E1:    Eventia platinum award
The event or programme deemed by our panel of judges to be the best overall business-to-business, business-to-consumer or business-to-employee submission will receive the coveted Platinum Award from Eventia.

E2:    Eventia commendations
Special commendations will be awarded for entries that demonstrate evidence of ROI policies.  Commendations will be awarded at the discretion of the Judges.
